Associations:

  • Be based in Cameroon,
  • Be legally recognized or not,
  • have a team made up of at least 3 people taking into account the gender aspect,
  • been selected on the basis of a call for applications,
  • pay an annual subscription,
  • effectively and effectively participate in the various activities of the platform

  1.      Our obligations to stakeholders

Project execution

  • Mobilize networks and skills to ensure sustainability and efficiency of activities.
  • Mobilize networks and skills to ensure the capacity building of Member Associations.

Financial aspects

  • Mobilize funding networks so that member associations can benefit (apply).
  • Monitoring and evaluation
  • Inform the Member Associations with sufficient anticipation of all the monitoring and evaluation activities that will be undertaken
  • Respect, as far as possible, local activity schedules for the implementation of monitoring and evaluation activities
  • Set aside time for follow-up activities to discuss the relationship between the association and platform as equals and transparently

CommunicatIon

  • Inform member associations of any significant changes in the context of co-financing activities.
  • Inform the member associations of any changes in their organization that may influence the activities. (Change of the team, new financing, …)
  • Ensure the visibility of the activities (event, project, …) of the member associations on the site
  • In any publication concerning the activities, Platform will mention the role of the Member Associations and the support of the different partners.

2.  What we expect from members

In carrying out  activities,  members must make every effort to achieve the following results:

  • In order to achieve these results, the member undertakes to carry out, in accordance with the budget and logical framework (in Annex x), all the activities planned by the project.
  • Inform the platform of any need for changes in activities due to unforeseen events or other difficulties or aimed at improving efficiency.
  • Mobilize its networks and skills to ensure the sustainability and efficiency of activities.

Financial aspects

  • The association agrees to pay an annual contribution
  • Send as soon as possible a copy of the bank’s credit opinion after each funding obtained through the platform.
  • Use the funds transmitted to it according to the budget (in annex 1) and exclusively for the activities planned by the project.
  • Each expense will be accompanied by a voucher (photocopy), numbered and classified according to the budget headings (in appendix 1).
  • All original vouchers must be kept at the association’s headquarters.

Modalities of Follow-up / Evaluation

      • Send to the Coordination the reports of implementation by activity carried out and the annual reports: narrative and financial report, as well as the updated logical framework, according to the following deadlines:

      • Send a final narrative and financial report to the Coordination no later than one week after an activity and one month after the end of the year. This report should explain the final results of the project, the beneficiaries’ use of the project infrastructure and services, the difficulties encountered during the implementation and the sustainability of the action in the medium and long term. It will also include a summary list of actions and a financial report.
  • The total or partial non-delivery of these documents, within a reasonable time, could result in the expulsion of the association of the platform.
  • In the event of funding obtained through the platform and in case the platform solicits it, the Association will collaborate to carry out an external evaluation.
  • The Association undertakes that, during the visits of the Coordination, the conditions necessary for the optimal conduct of the follow-up activities will be ensured.
  • Set aside time for follow-up activities to discuss the relationship between the association and platform as equals and transparently.
  • Involve beneficiaries in project monitoring / evaluation processes.

Communication

  • Inform the Coordination of any significant changes in the context of the intervention likely to influence the project.
  • Inform the Coordination of any changes in its organization likely to influence the activities. (Change of staff, new financing, …)
  • In any publication concerning joint activities, the Association will mention the role of the platform.
  • Any use of the support of another member of the platform must be done with the agreement of the latter without any modification of the support and respecting the right of creation.
